Start with an operational question
Dividing a leased floor is a useful first case. Asset managers, designers and operators need the same current layout, clear space identifiers and relevant service connections. Digitising every historic document need not be the first step.
Capture the area and compare it with existing drawings. Record differences, use boundaries and unclear responsibilities. Areas used in leases or charges still need an agreed measurement and calculation basis.
Use the model as a spatial index
Give spaces, storeys and systems stable identifiers. This makes a technical datasheet or inspection record discoverable at the relevant object rather than only through a folder structure.
The European description of a digital building logbook envisages a common repository for relevant building data. In practice, decide what the team needs, who may access it and how the information will remain current.

Example: handing over a refurbished floor
In an illustrative project, partitions and services change. Update the affected model objects and connect the approved as-built records. Operations receives a traceable handover, including unresolved issues.
A before-and-after comparison can reveal geometric changes. Whether installation work is technically compliant or inspection duties are fulfilled remains a matter for the relevant specialist review. The model organises those results rather than replacing the review.
Make the process repeatable across a portfolio
After a pilot property, standardise identifiers, data fields and handover procedures for further locations. Prioritise information that is used regularly. A small, maintained dataset is more useful than a large collection with no dependable status.
- Retain space and system identifiers between projects.
- Restrict access to sensitive tenancy and operational records.
- Document each change with its date, source and approval.
- Test the handover with the people who will operate the building.
Your next step
GeoScan connects spatial records with its developing building-passport and PLM approach. Our NEST demo illustrates one presentation; its material, energy and emissions indicators are explicitly sample data.
